Role Guidelines
When to Use Admin
- Team leads who need full operational control
- Office managers handling day-to-day operations
- Business partners who need access to everything
When to Use Member
- Employees who create invoices and manage clients
- Field staff who need to log time and access client info
- Sales people who handle client communications
When to Use Viewer
- Accountants reviewing financial data
- Business partners who need visibility without editing
- External consultants reviewing progress
Owner vs Admin
The account owner has two additional capabilities:
- Billing access: Change subscription, update payment method
- Cannot be removed: Admins cannot remove the owner
Changing Permissions
Only Admins (and the Owner) can change roles:
- Go to Settings → Team
- Find the team member
- Click the role dropdown
- Select new role
- Changes take effect immediately
Activity Logging
All team actions are logged:
- Who created/edited invoices
- Who sent communications
- Who changed settings
View activity logs in Reports → Activity Log.
