Role Guidelines

When to Use Admin

  • Team leads who need full operational control
  • Office managers handling day-to-day operations
  • Business partners who need access to everything

When to Use Member

  • Employees who create invoices and manage clients
  • Field staff who need to log time and access client info
  • Sales people who handle client communications

When to Use Viewer

  • Accountants reviewing financial data
  • Business partners who need visibility without editing
  • External consultants reviewing progress

Owner vs Admin

The account owner has two additional capabilities:

  1. Billing access: Change subscription, update payment method
  2. Cannot be removed: Admins cannot remove the owner

Changing Permissions

Only Admins (and the Owner) can change roles:

  1. Go to SettingsTeam
  2. Find the team member
  3. Click the role dropdown
  4. Select new role
  5. Changes take effect immediately

Activity Logging

All team actions are logged:

  • Who created/edited invoices
  • Who sent communications
  • Who changed settings

View activity logs in ReportsActivity Log.
